Software Move Update with Elle Grooms

Hello!

As one of our wonderful clients, I wanted to personally give you an update on our software switch to Petboost. 

If you're one of our many new clients, welcome! We're happy to have you and to answer any questions you may have. Until you receive the Activation SMS, just keep using Moego our current/old software.

The Activation SMS You Might Have Received
Many of you will have received an Activation SMS from Petboost—don't worry, it's definitely not spam! It includes a link to activate your account and get set up in the new client portal. Just follow the steps there—it's straightforward (we think) and will keep your appointments flowing without a hitch.
If not yet, it's coming! Any issues with the link please let us know and we'll resend it for you.


A Few Teething Issues (Lucky Us!)
We're hitting some of the usual new-system hiccups, but honestly, I'm really excited about how much easier and more user-friendly things will be once we're fully integrated. Thank you for bearing with us—your patience means a lot. I never anticipated on spending all of my free time since Boxing Day on this project, but here we are!

Completing Your Profile in the Online Portal
To fully activate your account and keep your ongoing appointments active and seamless (including auto-reminders, self-rescheduling where allowed, and no-show protection), please hop into the portal via the link in your SMS and:

  • Review and update your details (address, emergency contact, vet info, etc.—whatever might need a refresh), and pet details (weight, behaviour, etc.)

  • Add your card details if they're not already on file (via secure Stripe integration)

  • Review our updated Terms & Conditions

This isn't a new policy—it's the same secure approach we've always used for payments, cancellations, and client info—but the new system makes it easy to handle everything in one spot. I trust Stripe with my own card details (and they manage all our business income), which probably says the most! Cash payments will still be accepted, please let us know if you have any questions.

Why We're Making This Change
We're streamlining payments so they can auto-process where possible—this saves us heaps of time, potentially reduces merchant fees, and frees us up to focus more on the important stuff at pick-up: troubleshooting coat or behaviour issues, discussing grooming goals, and giving your pet the thorough attention they deserve.


Reminders & Notifications
As mentioned before, Petboost won't send confirmation messages—instead, you'll get reminders a minimum of 2 weeks in advance by email (and sometimes SMS).
I'm still figuring out the bigger notification picture for everyone, but if you get any strange emails/SMS or have feedback (good or bad!), please flick them to us.
This change saves a tonne of resources on unresponded confirmations, reduces notification fatigue, adds more accountability, and should let you manage your own appointments easily (within our policies).

A Note on Self-Rescheduling & Cancellations
I'll enable self-rescheduling in the portal, but with clear boundaries to protect everyone's time and our rosters:

  • No cancellations or changes within the 72-hour notice period—this is our standard cancellation notice requirement, and last-minute ones (especially for change-of-mind or lack of planning) are disruptive to staffing and revenue.

  • If someone repeatedly makes changes close to the appointment time in a way that impacts us negatively, we would prefer not to but have the capability to disallow online booking for that individual.

  • We set aside your booking time specifically for you, so please remember to be punctual and to respect our time. Late drop offs and pick ups impact our day negatively, especially those not communicated ahead of time.

If You Think You've Fallen Through the Cracks
I'm 50% of the way through a 300 appointment list to move from Moego to Petboost. I'll be honest—I'm a bit scared someone might slip through during this transition.

Poppy on Holidays

The wonderful Poppy, Grooming Assistant extraordinare, will be on holidays from mid Feb to the 7th of March, so during this time I will be at full capacity.
If you haven't booked your next appointment already, please do so now.

2026 Scheduling Policies & Updates

Hello wonderful clients,

We hope you and your furry friends are enjoying a great start to 2026!

Elle Grooms is busier than ever (thank you for the incredible support!), so to ensure the safest, highest-quality care for every pup and our team, we're now strictly enforcing our core policies while making some long-standing guidelines official.

 These updates focus on long-term welfare, safety, reduced stress, and sustainability — so we can keep being the reliable maintenance salon you trust.

Key Updates (effective immediately):

  1. Strict 6-Week Maximum Interval for Standard to Giant-Sized Dogs

    Larger breeds must maintain a maximum 6-week grooming interval to remain clients. This does not mean a full groom or haircut is required every time! Shorter services like a Tidy Bits (for tidying the bits) or a Wash Up appointment are perfectly suitable and encouraged. The key is consistency to keep coats manageable, behaviour trained, handling safe, and sessions efficient (overgrown coats on big dogs increase time, physical demands, product use, and safety/liability risks dramatically).
    Regular intervals help prevent issues, make visits less stressful for your dog, and protect our team. If a large dog exceeds 6 weeks (regardless of service type), we unfortunately won't be able to book until they're back on a consistent maintenance plan. See point 3.

  2. Speciality Behavioural Handling (Area of Expertise)

    Fear-based or any reactivity is my speciality — with years of dedicated low-stress, fear-free and balanced training techniques and research, we're attracting more and more discerning parents who want the best for their dog. 
    These services require extra time, advanced skills, 15 years of experience, and specialised handling and tools for safety and positive outcomes. Therefore, these pups must book at least our Extra Care or Behavioural Groom add-on.

    A regular schedule is non-negotiable — it builds and maintains trust, and helps to prevent regression or further safety issues.
    If your dog has a history of biting, we recommend starting with the Behavioural Groom add-on.

  3. Overdue Groom Fee & Why Regular Maintenance Is Essential 

    Our prices are based on dogs on a 4-6 week schedule — dogs exceeding this by 8+ or 10+ weeks without appropriate maintenance may incur an Overdue Groom Fee (as the appointment will exceed allocated time).

    Grooming is vital health & comfort care, not just cosmetic! Regular visits cover:

    • Eye/ear trimming (prevents irritation, build-up, & vision blockage)

    • Hygiene/sanitary areas (avoids infections/discomfort)

    • Paw pads & nail trims (critical during Melbourne's grass seed season!)

    • Undercoat/matting management (prevents painful skin pulling)

    • Early skin condition detection

    When these get neglected, problems can build quickly — leading to discomfort, pain, infection, or health issues for your dog that are much harder (and more stressful and expensive) to fix later.


Saturday Surcharge for 2026

There is a 10% surcharge for Saturday appointments (as noted on the portal and our socials).
However, for long-term pre-booked clients (currently pre-booked for the year/2026), this will apply at a reduced 5% rate as a thank you for your loyalty and consistency.
This surcharge enables us to accommodate clients requiring flexible scheduling and helps us cover the additional staffing costs associated with being open on Saturdays.

Flexibility for Shift & Emergency Workers

We understand many of you are shift workers, work for emergency services, or have unpredictable schedules. We're happy to remain as flexible as possible and coordinate special arrangements with you (e.g., waitlist priority, or alternative slots). We'll work together to make it happen while still prioritising your dog's welfare and our team's safety and well-being.
